Promoting and Retaining Students

Overview

The Promote / Retain Students feature lets advisers manually mark students for promotion or retention at the end of the term.


This option appears only when manual promotion is used. For schools with promotion and retention rules, this module is disabled.


Accessing the Promotion Tool

  1. Go to Homeroom Sections.
  2. On the section to be manage, click Manage.
  3. Then, click Promotion Statuses.

Marking Students for Promotion or Retention

  1. A list of your section’s students appears.
  2. In the Promotion status column, select for promotion or to retain.

  1. When done, click Save Promotion Statuses.

💡 You can return to update your selections before the school year closes.


Reviewing Results

After saving:

  • Promoted students are marked Promoted in their records.

  • Retained students remain in the same level for the next enrollment.

  • These results are reviewed during year-end processing and the statuses are reflected in related reports.


Tips for Advisers

💡 Finalize grades before using this feature.
💡 Save often and confirm changes before closing the page.
💡 If unsure about a student’s eligibility, consult your level head or coordinator.
💡 Updates may no longer be available once year-end data are finalized or the academic year has rolled over to the next.


Summary

The Promote / Retain Students feature allows faculty advisers to manually tag students for promotion or retention when automatic promotion is not in use.

 

It ensures student progression decisions are accurately recorded based on each school’s academic policy.
