Grado uses Disciplines to represent elective requirements in a curriculum — slots that can be satisfied by any one subject from a defined list. When a student enrolls in an eligible subject, Grado automatically credits it to the matching elective slot.
However, when multiple elective slots share the same pool of eligible subjects (e.g., Foreign Language Elective 1, 2, and 3 all allow the same subjects), Grado cannot determine which subject satisfies which slot. It credits all enrolled subjects to the first elective slot by default. An admin must then manually assign each subject to the correct elective slot.
Note: Crediting a subject to a new elective automatically removes it from whichever elective it was previously credited to. Only one elective slot can hold a given subject at a time.
| Scenario | What Grado Does |
| Student enrolls in a subject that matches exactly one elective slot | Subject is automatically credited to that slot |
| Student enrolls in subjects that match multiple elective slots sharing the same subject pool | All subjects are credited to the first elective slot; manual correction is required |
| Admin credits a subject to a different elective slot | Subject is automatically uncredited from the previous slot |
A Grade 11 student in the Academic Track takes Geometry in Term 1. The curriculum has one Math Elective Discipline with Geometry, Trigonometry, and Calculus as options. Grado automatically credits Geometry to Math Elective. No manual action needed.
If the student fails and retakes Trigonometry in Term 2, Trigonometry is also credited to Math Elective. Both subjects appear under the elective on the checklist.
A BS Tourism student in Year II, Term 2 takes French and German. The curriculum has three Disciplines — Foreign Language Elective 1, 2, and 3 — each allowing the same set of subjects (Mandarin, Spanish, French, German, Arabic).
Grado credits both French and German to Foreign Language Elective 1 by default. An admin must intervene:
Can a student satisfy the same elective slot with more than one subject? Yes. If a student retakes or takes an additional eligible subject, both subjects will appear as credited under that elective. This is expected behavior for electives that allow multiple attempts.
What if the subject I need to credit does not appear under the "+" list? The subject may not be included in the Discipline's subject list, or it may not be offered in the current SY/term. Verify the Discipline setup under Setup > Disciplines and confirm the subject is added as an option.
Does crediting a subject affect grades or enrollment status? No. Crediting only affects how the subject appears on the checklist relative to elective requirements. Grades and enrollment records are unchanged.
When automatic crediting results in subjects being incorrectly assigned to elective slots, use the Checklist to manually credit each subject to the correct Discipline. Crediting a subject to a new elective automatically uncredits it from the previous one.
