Overview
Grado allows administrators to control when Grade Books can be edited. Grade Books can be locked to prevent changes (e.g., after grade submission or term close) and unlocked when edits are permitted.
Enabling Locking Permissions
Before managing locks, ensure the correct permission is granted to authorized admin users.
Steps:
- Go to Admin Portal → Permissions → Grade Book.
- Enable Update Grade Book Locking.
- Save changes. The user will now see Lock All Gradebook and Unlock All Gradebook buttons in the Classes list.
Locking and Unlocking Grade Books
To Lock or Unlock All Classes (Bulk)
- Navigate to Classes.
- Click Lock All Gradebook or Unlock All Gradebook.
- Confirm the action. A status message appears, and all classes update accordingly.
To Lock or Unlock a Single Class
- Open the Classes page.
- Select the desired class.
- Click Lock Gradebook or Unlock Gradebook.
- Confirm when prompted. The class status will update.
FAQ & Troubleshooting
Why don’t I see Lock/Unlock buttons?
You may not have the Update Grade Book Locking permission. Contact your system administrator.
Why can’t I edit an unlocked Grade Book?
Your Grade Book permission is set to “View.” To edit, enable Edit Grades for authorized users.
Note: If you have dual roles as Admin and Faculty, Grado automatically recognizes your role based on the class context. When you open a class where you are the assigned faculty member—even from the Admin portal—you are treated as Faculty for that class. As long as the Grade Book is unlocked, you can update your grades from either the Admin or Faculty portal.
Best Practices
- Lock Grade Books after approval to preserve data integrity.
- Use Unlock only for verified correction requests.
- Regularly audit Grade Book statuses for open/locked counts.
