Assigning a Faculty Member as Admin (Dual-role Assignment)

Overview

Dual-role Assignment links an existing Faculty account to an Admin role. The user keeps one login and gains Admin access alongside their Faculty access.

 

Use this when a Faculty member also needs Admin-level permissions.


How to Access / Use

⚠️ Before you start: Confirm the Faculty member has a set and confirmed email address. Skipping this causes the assignment to fail silently and creates a duplicate Admin account instead. See Key Behavior or Rules below.

  1. Go to Setup > Permissions.
  2. On the New Admin screen, click Click here to assign an existing user as admin.
  3. In the Faculty field, search and select the user's name.
  4. Complete any remaining required fields.
  5. Choose Create and add more to assign another user, or Create and exit to finish.

Key Behavior or Rules

  • The selected Faculty must have a set and confirmed email before Dual-role Assignment.
  • If the Faculty has no email, the system shows "Email can't be blank" and redirects to a blank New Admin form.
  • Do not fill out and submit that form. It creates a new, separate Admin account. It does not link to the Faculty member you selected, and does not complete the assignment.
  • Assigning through the correct flow links the Admin role to the existing Faculty record. The user keeps a single login for both roles.
  • Do not use Click here to create a new admin for this purpose. That flow always creates a separate, standalone account.

Tips / Best Practices

  • 💡 Ensure that the Faculty member's email is set and confirmed before starting a Dual-role Assignment.
  • 💡 If you see "Email can't be blank" mid-assignment, stop. Do not complete the form that follows. Go set the Faculty's email first, then start over.
  • 💡 After assigning, have the user log in once to confirm both Faculty and Admin access are active on the same account.

FAQ

Q: I got an error saying "Email can't be blank." What should I do?

A: Stop at that point. Don't fill in the form that appears next. It will create a separate, unlinked Admin account instead of completing the assignment. Set an email on the Faculty record first, then restart the Dual-role Assignment.

 

Q: What's the difference between "create a new admin" and "assign an existing user as admin"?

A: Creating a new admin makes a separate, standalone account. Assigning an existing user links Admin access to that user's current Faculty login, but only completes correctly if the Faculty already has a confirmed email.
